Nights Away Notification & Approval - The new world of NA.

Following the release of TSA new IT system, NAN has now moved from paper to the cloud.

The process is very straightforward, and follows the same procedure as the old ways

To help , I listed a few hints and tips to help you and me.

· Please submit NAN via the portal, with Programme, Menu, any associated RAs, and a free text box to add any other details including the names of any YLs please

· Only when you hit submit do I get a notification, there is no need to email me as well. If in a saved state it does not appear on my approvals list. Please remember within Exeter District we have a 14 day deadline NAN have to be submitted.

· Once submitted I will see the NAN and review.

· Any notes I make of the NAN are saved but the Leader in Charge will not be notified. So if I have any questions, I will decline the NAN which will return it to your list and send a notification. Decline is a strong word used by TSA, rather clarification required, but my comments will be in the box provided.

· Again to reduce list ping pong, please ensure that

You have submitted all paperwork. Menus, Programmes, additional RAs please.

And if you are taking any YL, as you cannot list them as an adult leader plus add them to the free text activities section.

Also to help with approval, if you are using any 3rd.party supplier for accommodation or activity lead, I would like to see an acknowledgement in the free text area stating as Leader in Charge you are content with their RAs, Insurance and compliance with TSA POR for running activities. Or you could attached documents if desired.

NB. The system allows changes up to the date of the camp, however if the state is approved and then amended by the Leader in Charge it will go to a stating of waiting approval, and therefore the overnight(s) is not valid, and is not approved.

The system will lock the NAN once the camp has started. No changes can therefore be made after the NA, so any last minute changes must be confirmed by the start, including numbers. Stating over expected but in ratio would be better then recording a number which is less then the actual number on camp.

Nights Away permits

As with NAN this permit process has been transferred the cloud please submit your renewal and new applications via the portal.

Please include your camp history over the last five years and if you are renewal or new.

Once submitted I will pick up and liaise with you for a catchup and trigger your permit renewal.

RISK ASSESSMENTS - each section needs to do a RA for every activity.

If you are leaving your meeting place then you need a RA.

If you attending an activity put on by a third party then you need your own RA for the event AND the following information Public Liability Insurance Certificate, and the supplier own RA for staging the activity. These need to be approved before you can attend the event.
